Your referral network, in HubSpot

Plan managers, support coordinators and organisations, kept up to date as contacts and companies.

Connect Autonomy Care to HubSpot and your plan managers, support coordinators and partner organisations are kept up to date in HubSpot as contacts and companies. Changes are sent automatically. Participants are only sent if you turn that on, and NDIS numbers, plans and notes are never sent. Nothing comes back from HubSpot.

What goes to HubSpot?

  • Plan managers, support coordinators and organisations, as contacts and companies, linked to each other.
  • A plan manager's business as a company.
  • Name and email always; phone and job title only if you choose.
  • Participants only if you turn that on. It's off until you do.

What is never sent?

NDIS numbers, plans, progress notes and anything clinical.

When is it sent?

Automatically when a record changes, or all at once with Sync now on the HubSpot card. You can turn automatic sending off.

How do we connect HubSpot?

Once, for your whole organisation. You need the Connect and manage integrations permission in Autonomy Care.

  1. Open Settings, then Integrations

In Autonomy Care, choose Connect HubSpot on the HubSpot card.

  2. Sign in to HubSpot and approve access

Choose your HubSpot account and approve access. Autonomy Care asks to read and write contacts and companies, and nothing else.

  3. Choose what to send

Plan managers, support coordinators and organisations are on by default. Participants stay off unless you turn them on.

  4. Choose the contact fields

First name, last name and email always go. Phone and role are sent only if you turn them on.

  5. Send everything once

Choose Sync now to send every chosen record. After that, changes go automatically unless you turn Send changes automatically off.

What goes to HubSpot, field by field

Each kind of record Autonomy Care can send to HubSpot, whether it's sent by default, and the fields it carries.
RecordSent by defaultFields
Plan managersYesName and email, with their plan management business as a company. Phone and role if you turn them on.
Support coordinatorsYesName and email, linked to their organisation. Phone and role if you turn them on.
OrganisationsYesAs HubSpot companies, linked to their people.
ParticipantsNo, only if you turn it onName and email. Phone and role if you turn them on.
NDIS numbers, plans, notes and clinical informationNeverNot sent, whatever you choose.

Will it create duplicate contacts?

Email is the match key. If a contact with the same email is already in HubSpot, Autonomy Care updates that contact instead of adding a new one, and remembers the link for next time.

What if something fails?

Every send is logged in the Sync log. Rate limits and outages are retried automatically; anything else waits for you to fix it and press Retry. If HubSpot stops accepting the connection, the card shows Needs reconnecting: choose Reconnect HubSpot and carry on.

What it does and doesn't do

It does

  • Sends contacts and companies, with their links
  • Sends changes automatically
  • Leaves out NDIS numbers, plans and notes

It doesn't

  • Doesn't bring anything back from HubSpot
  • Doesn't create deals, tickets or pipelines
  • Doesn't delete anything in HubSpot
