Modules
Every part of Autonomy Care, grouped by the job it does. Each module works on its own and shares records with the others.
Core and participants
Participant management
Participant management keeps everything about a person in one record: their NDIS plan and funded services, goals, contacts, plan manager, support coordinator and support requirements. Rostering, progress notes, billing and the Family portal all read from that record, so your teams don't keep separate copies that drift apart.
Staff, credentials and leave
Staff records hold each worker's profile, pay rate, credentials and leave. Autonomy Care tracks credential expiry and alerts workers 30 days before and on expiry. An expired NDIS Worker Screening clearance blocks rostering, and a missing or unverified one is flagged. Approved leave flows to the roster and payroll so nobody re-enters it.
Rostering and care
Care plans and goals
Care plans in Autonomy Care bring together each participant's goals, a support plan, risk and safety plans, and a short care summary workers read before a shift. Progress against goals is recorded with dates and can be shared with family. The support plan is a reviewed form with an Easy Read version.
Progress notes
Progress notes in Autonomy Care are written by support workers on shift, in the mobile app or the browser, and are linked to the shift, the participant and their goals. Coordinators read new notes the same day, follow up on anything flagged, and use the notes as evidence for claims, incident reports and plan reviews.
Rostering and timesheets
Rostering and timesheets in Autonomy Care lets coordinators build rosters for participants and houses, offer open shifts to suitable workers, and approve hours against what was delivered. Workers see their shifts in the mobile app and clock in on shift. Approved hours flow to payroll and to billing, so each shift is entered once.
Team collaboration
Team collaboration in Autonomy Care covers the handover from one shift to the next, a shared task board, and team messaging. A worker leaves a handover at clock-out and the next worker acknowledges it. Tasks have checklists and comments and can be linked to shifts. Team channels keep conversations with the work.
Worker matching
Worker matching in Autonomy Care suggests workers for a shift and shows why. It first leaves out anyone who can't take it, such as a missing screening check, leave or an overlapping shift. Then it scores the rest out of 100 using factors you can weigh, such as continuity, preferences, language and distance.
Attendance and clock-in
Attendance records when workers start and finish each shift. In Autonomy Care, workers clock in and out from the mobile app or the web, with optional geofencing that warns or blocks outside a set radius. Late or out-of-area clock-ins are flagged for review, and you can require a note or participant signature at clock-off.
Medication and MAR
Medication management keeps each participant's medication records and a medication administration record (MAR). In Autonomy Care, workers on shift record each dose as given, self-administered, refused, withheld, missed or not required. PRN limits and witness checks are enforced, late and missed doses raise alerts, and refused, withheld or missed doses are escalated.
SIL house management
SIL house management keeps each supported independent living house with its residents, house lead and settings. Autonomy Care builds the house roster from a template, reports times when residents are home with nobody rostered, splits shared support time across residents for billing, and records handovers so the next worker sees what happened.
Tasks and checklists
Tasks keep follow-ups out of inboxes and sticky notes. In Autonomy Care, the office uses a task board with statuses, checklists and comments, and tasks can be attached to a shift so the worker sees them on the day. Some tasks are created for you, such as a plan review before a plan ends.
Worker safety
Many support workers work alone in homes and the community. In the Autonomy Care app, an SOS button sits on every signed-in screen: tap it to call 000 or on-call, or hold it for 2 seconds to send a silent alert. Welfare checks, a check-in timer the worker sets, running-late notices and shift change acknowledgements cover the rest.
Quality and compliance
Custom forms
Custom forms in Autonomy Care let you build your own forms and checklists with a visual form builder: 22 kinds of field, conditions, calculations and signature blocks. Each version is reviewed and approved by someone other than its author before staff use it, on the web or in the mobile app.
Document Centre
The Document Centre holds your forms, registers and policies. Autonomy Care includes a library of 71 ready-made forms you can adopt and change, template versions with approval and review dates, form records with signatures and PDF export, registers, policy acknowledgements with reminders, and a document control register that shows what needs attention.
E-signatures
E-signatures let participants, families and staff sign Document Centre forms, such as service agreements, without printing. Autonomy Care sends a single-use link, checks a one-time code, follows the signing order you set, sends reminders, and adds a signing certificate to the record's PDF. People with Family portal access can sign there instead.
Incidents and complaints
Registered providers must manage all incidents and notify the NDIS Commission of reportable incidents within set timeframes. Autonomy Care walks workers through a report that starts with safety, tells the on-call coordinator about 24-hour categories, tracks Commission deadlines with alerts, and won't close an incident until the required steps are recorded.
Training and competencies
Training and competencies keeps a record of each worker's competencies, evidence and expiry dates, shown in a training matrix. In Autonomy Care you can require competencies for a participant or a support item, and the roster checks them when you assign a shift, using the advisory, reason or block policy you choose.
Finance
NDIS billing and claims
NDIS billing software turns delivered supports into invoices and NDIA claims. Autonomy Care invoices plan- and self-managed participants and builds the bulk payment request file for NDIA-managed participants, which you upload in the myplace provider portal. It checks lines against price limits first, then matches the remittance.
Expenses and mileage
Expenses and mileage let workers claim costs and kilometres with receipts. In Autonomy Care, mileage comes from odometer readings or a typed distance, paid at the rate you choose. Approved claims go into the pay run, and costs can be billed to the participant as provider travel or an expense line, with price limits checked.
Funding and budgets
Budget tracking compares what a participant's plan holds with what has been invoiced and committed. Autonomy Care tracks each plan service, alerts at 80% and 100% and when the forecast goes negative, and checks the funding impact when you save a shift, booking or invoice. Your policy decides whether overspending warns, needs a reason or is blocked.
Payroll and the SCHADS Award
Autonomy Care calculates timesheet pay under the SCHADS Award (MA000100) for the disability and home care streams. It covers weekend and public holiday rates, overtime, shift loadings, minimum engagement, broken shifts and sleepovers, flags cases for a person to decide, and exports pay runs to payroll. Have a payroll specialist check your setup.
Quotes and service agreements
A service agreement sets out the supports, prices and terms agreed with a participant. In Autonomy Care you build a quote from support items, checked against price limits, send it as a PDF and keep versions. When the participant accepts, the quote lines go into a draft service agreement that you complete and send for e-signature.
Participants and families
Family portal
The Family portal gives participants and their chosen contacts a secure login. With view access, family members see upcoming and past supports, goals and feedback. With full access, such as a nominee, they also see plans and budgets, the support team, shared documents to sign, messages and support change requests. Providers control each contact's access.
Messaging
Messaging keeps conversations about participants inside a secure system. Autonomy Care has direct and group messages between staff, team channels, and conversations with family contacts who have full Family portal access. Messages can carry attachments, saved replies speed up common answers, and admins can export conversations for audit.
Referrals
Referrals are how new participants reach you. Autonomy Care gives you public referral links to share with support coordinators, families and health professionals. Each referral arrives in an inbox where you mark it contacted, converted or declined. Converting it fills in the new participant record, and declined referrals are deleted after 90 days.
Insights
Dashboards
Dashboards in Autonomy Care show what needs attention today, under Today, People, Money and Quality, filtered to each person's role. Owners also get an executive summary: revenue, margin, hours, participants, workforce, quality and billing against the last period, with four charts and a PDF to share with the board.
Reports
Reports show how your organisation is going across service delivery, finance, workforce and compliance. Autonomy Care has ready-made reports, such as revenue and margin, utilisation, rostering fulfilment, credential expiry and incidents, plus shift financials and an executive summary. Reports export as CSV or PDF and can be emailed daily, weekly or monthly.
Signals
Signals are automatic checks across progress notes, the roster, invoices and messages. Every 15 minutes, Autonomy Care looks for things like missing notes, unfilled shifts, prices over the limit and unanswered messages. Each signal explains why it appeared, suggests a fix, and clears itself once the issue is resolved. The checks follow fixed, written rules, not AI.
Connections
Integrations
Integrations connect Autonomy Care to Xero, MYOB, QuickBooks Online, HubSpot and Employment Hero Payroll. Invoices and customers go to your accounting system with payment status read back, approved SCHADS hours go to payroll, and plan managers and support coordinators go to HubSpot. Connections use OAuth, with a sync log and automatic retries.
Public API and webhooks
The public API and webhooks let your developers connect Autonomy Care to other systems, such as BI tools, plan managers or Zapier. It is a REST API documented in OpenAPI, with scoped API keys, rate limits and idempotent writes, plus signed webhooks for events like a shift being created or an invoice being paid. It is an add-on.
