Invoices and timesheets to MYOB

Send invoices and approved hours to MYOB, and see what's been paid.

Connect Autonomy Care to MYOB Business or AccountRight and your NDIS invoices and customers go to MYOB, with payment status coming back. Approved timesheets can go to MYOB payroll, with cost centres sent as jobs. An administrator of the MYOB business approves the connection once, from Settings in Autonomy Care.

What does the MYOB connection do?

It connects one MYOB business to Autonomy Care, for invoices and for payroll.

  • Invoices as service sales

Sent invoices go to MYOB as service sales in Australian dollars, with a tax code and an income account on every line.

  • The right customer

The plan manager for plan-managed supports, the participant if self-managed, or the NDIA if agency-managed. Each customer is found or created just before their first invoice.

  • Payments come back

MYOB doesn't send updates, so Autonomy Care checks for payments every 15 minutes and marks invoices paid, with the amount and date.

  • Payroll timesheets

Approved SCHADS hours and paid leave go to MYOB as timesheets, one per worker and pay period, with cost centres as MYOB jobs if you choose.

What goes to MYOB?

  • Invoices, as service sales, and the customer for each one.
  • Approved timesheets for each worker and pay period, with cost centres as MYOB jobs.

What comes back?

Payment status, so you can see which invoices are paid.

Who can connect it?

An administrator of the MYOB business approves the connection. In Autonomy Care, anyone allowed to manage integrations can start it.

How do we connect it?

Once, for your whole organisation. You need the Connect and manage integrations permission in Autonomy Care, and an administrator of the MYOB business to approve.

  1. Open Settings, then Integrations

In Autonomy Care, choose Connect MYOB on the MYOB card.

  2. Sign in to MYOB and approve access

An administrator of the MYOB business signs in, chooses the business and approves access. MYOB tells Autonomy Care which business was approved.

  3. Check the suggested mappings

GST-free income, GST on income and a default income account are filled in for you. Anything Autonomy Care couldn't find is listed on the card as setup still needed.

  4. Set up cost centres (optional)

Choose a cost centre rule (by house, by region or by service type) and map each cost centre to an MYOB job.

  5. Set up payroll (optional)

Map each SCHADS pay line and leave category to an MYOB pay item, and link workers to MYOB employees. Workers are matched by email, then by name.

  6. Send a first invoice

Choose Push to MYOB on one sent invoice and check it in MYOB, then use Sync now for the rest.

What syncs, and when?

What the MYOB connection sends and receives, in which direction, and when.

Before you export payroll, what needs to be ready?

  • Each worker is linked to an MYOB employee. Workers are matched by email, then by name. You can change any match in the Employees mapping.
  • Every pay item is mapped. Each SCHADS pay line and leave category your workers used needs an MYOB pay item.
  • Emails are unique in MYOB. Two employees with the same email can't be matched automatically.
  • The employee is active in MYOB.

A setup check lists any worker who isn't ready to export, and why. Fix those, then export. Exporting the same period again replaces those timesheets, so nothing is doubled.

Which tax codes and accounts does it use?

NDIS supports are usually GST-free. GST-free income maps to MYOB's FRE code and GST on income to GST. Every line needs an income account: set a default, and optionally a different account for each NDIS support category.

What if something fails?

Every send is logged. Rate limits and outages are retried automatically; a missing mapping waits for you to fix it and press Retry.

Each record is sent once: Autonomy Care remembers what it sent, so a retry never makes a duplicate invoice.

What it does and doesn't do

It does

  • Sends invoices and customers
  • Sends approved timesheets
  • Brings payment status back
  • Logs every send, with Retry

It doesn't

  • Can't void an invoice in MYOB for you: MYOB doesn't allow it through its connection, so you void it in MYOB
