Quotes and service agreements

From NDIS quote to service agreement

A service agreement sets out the supports, prices and terms agreed with a participant. In Autonomy Care you build a quote from support items, checked against price limits, send it as a PDF and keep versions. When the participant accepts, the quote lines go into a draft service agreement that you complete and send for e-signature.

Part of Billing and NDIA claims.

What should a service agreement include?

Usually the supports, prices, how and when they will be delivered, how cancellations and changes work, and how to raise a complaint. Use the agreement form in the Document Centre as a starting point and adapt it to your services.

How does a quote become an agreement?

When a version is accepted, its lines are written into a draft service agreement. Someone completes it and sends it for signature. The agreed rates then apply when invoicing, capped at the price limit.

Do quotes expire?

Yes. Quotes move from draft to sent, then accepted, declined or expired. A daily job expires quotes past their date.

What it does and doesn't do

It does

  • Builds quotes from support items with price limit checks
  • Keeps quote versions and emails PDFs
  • Creates a draft service agreement from an accepted quote
  • Applies the agreed rates when invoicing

It doesn't

  • Doesn't let participants accept a quote online; staff record the acceptance
  • Doesn't activate an agreement until it is completed and signed

Frequently asked questions

Is a service agreement mandatory?

It depends on the support and your registration. Registered providers must be able to show that each participant understands the supports they've chosen and how they'll be provided, which the NDIS Practice Standards expect to see in a service agreement, preferably in writing. Specialist disability accommodation needs a written service agreement, the SIL Practice Standards from 1 July 2026 cover agreements about tenancy, housing and support, and claiming regular SIL weekly needs a service agreement. Unregistered providers aren't required to have one. Even where it isn't required, a written agreement helps both sides.

Can I quote before someone becomes a participant of ours?

Yes. Quotes can be made for an existing participant or for a referral.

Can I update an agreement mid-plan?

Yes. Create a new quote version or amend the agreement record. Signed agreements are never changed; an amendment creates a new signed version.

Is quote history recorded?

Yes. Every quote action is written to the activity log.

How it works

  1. Build the quote

Add support items from the price guide or custom lines, with how often and how many times.

  2. Send it

Email the quote as a PDF to the participant's contact, the plan manager or the referrer. Prices are checked on save and again on send.

  3. Revise

Create a new version when something changes. Accepting one version supersedes the others.

  4. Turn it into an agreement

Accepting writes the quote lines into a draft service agreement in the Document Centre, ready to complete and sign.

Who uses it

  • Intake and enquiries staff

  • Finance teams

  • Coordinators

  • E-signatures

E-signatures let participants, families and staff sign Document Centre forms, such as service agreements, without printing. Autonomy Care sends a single-use link, checks a one-time code, follows the signing order you set, sends reminders, and adds a signing certificate to the record's PDF. People with Family portal access can sign there instead.

  • Document Centre

The Document Centre holds your forms, registers and policies. Autonomy Care includes a library of 71 ready-made forms you can adopt and change, template versions with approval and review dates, form records with signatures and PDF export, registers, policy acknowledgements with reminders, and a document control register that shows what needs attention.

  • Billing and NDIA claims

NDIS billing software turns delivered supports into invoices and NDIA claims. Autonomy Care emails invoices to plan managers and self-managed participants, and builds the bulk payment request file you upload in the myplace provider portal. It checks lines against price limits first, then matches the remittance so rejected lines can be fixed and claimed again.

  • Referrals

Referrals are how new participants reach you. Autonomy Care gives you public referral links to share with support coordinators, families and health professionals. Each referral arrives in an inbox where you mark it contacted, converted or declined. Converting it fills in the new participant record, and declined referrals are deleted after 90 days.
