Funding and budgets

Know what is left in a plan before you book

Budget tracking compares what a participant's plan holds with what has been invoiced and committed. Autonomy Care tracks each plan service, alerts at 80% and 100% and when the forecast goes negative, and checks the funding impact when you save a shift, booking or invoice. Your policy decides whether overspending warns, needs a reason or is blocked.

Part of Billing and NDIA claims.

How are plan budgets tracked?

Each funded service in the plan is tracked against what has been invoiced and what is committed by upcoming shifts and bookings. A forecast shows where it is heading.

When do budget alerts fire?

At 80% and 100% of each plan service, once per threshold, and when the forecast end balance goes below zero. Alerts don't name the participant in the notification itself.

Can families see the budget?

Contacts with full Family portal access (such as a nominee) can see plans and budgets, with an easy read option.

What it does and doesn't do

It does

  • Tracks invoiced and committed funds per plan service
  • Alerts at 80%, 100% and on a negative forecast
  • Checks funding impact on shifts, bookings and invoices
  • Shows budgets to authorised family contacts

It doesn't

  • Doesn't read plan budgets from the NDIA; they are entered by your team
  • Doesn't let you change the 80% and 100% alert thresholds

Frequently asked questions

Does it track plan-managed and self-managed budgets?

Yes. The funding check applies to NDIA- and plan-managed funding with your chosen policy, and only ever warns for self-managed funding.

Can I set the alert thresholds?

Not at the moment. Alerts are at 80% and 100%, plus a forecast alert.

Can we stop bookings that would overspend a plan?

Yes. Set the overspend policy to block, or require a reason that is logged. The default is to warn.

Does it handle stated supports?

How it works

  1. Record the plan budget

Add the funded services in the participant's plan.

  2. Commit as you book

Shifts and bookings count against the budget as committed funds.

  3. Get alerts

Alerts go at 80% and 100% of invoiced plus committed funds, and when the forecast end balance drops below zero.

  4. Check before saving

The funding check shows the impact on the budget when you save a shift, booking or invoice.

Who uses it

  • Finance teams

  • Coordinators

  • Participants and families (in the Family portal)

  • Billing and NDIA claims

NDIS billing software turns delivered supports into invoices and NDIA claims. Autonomy Care emails invoices to plan managers and self-managed participants, and builds the bulk payment request file you upload in the myplace provider portal. It checks lines against price limits first, then matches the remittance so rejected lines can be fixed and claimed again.

  • Rostering and timesheets

NDIS rostering software schedules workers against booked supports while checking availability, credentials and plan funding. In Autonomy Care, each shift carries its support item, so the roster, timesheet and invoice stay in step. Templates, open shifts, swaps and private calendar feeds cut down the last-minute phone calls.

  • Family portal

The Family portal gives participants and their chosen contacts a secure login. With view access, family members see upcoming and past supports, goals and feedback. With full access, such as a nominee, they also see plans and budgets, the support team, shared documents to sign, messages and support change requests. Providers control each contact's access.
