Who it's for
Large providers
For large providers with many teams and sites
Large providers need control as much as features. Autonomy Care gives you custom roles and permissions, single sign-on with Microsoft Entra ID or Google Workspace, a two-step sign-in policy you can make required, tamper-evident activity logs, scheduled reports, connections to accounting and payroll systems, and a public API add-on for your own tools.
What gets in the way
- Different teams needing different access
- Proving who changed what
- Consistent processes across sites
- Getting data into finance and reporting systems

Modules that help
Reports
Reports show how your organisation is going across service delivery, finance, workforce and compliance. Autonomy Care has ready-made reports, such as revenue and margin, utilisation, rostering fulfilment, credential expiry and incidents, plus shift financials and an executive summary. Reports export as CSV or PDF and can be emailed daily, weekly or monthly.
Signals
Signals are automatic checks across progress notes, the roster, invoices and messages. Every 15 minutes, Autonomy Care looks for things like missing notes, unfilled shifts, prices over the limit and unanswered messages. Each signal explains why it appeared, suggests a fix, and clears itself once the issue is resolved. The checks follow fixed, written rules, not AI.
Integrations
Integrations connect Autonomy Care to Xero, MYOB, QuickBooks Online, HubSpot and Employment Hero Payroll. Invoices and customers go to your accounting system with payment status read back, approved SCHADS hours go to payroll, and plan managers and support coordinators go to HubSpot. Connections use OAuth, with a sync log and automatic retries.
Public API and webhooks
The public API and webhooks let your developers connect Autonomy Care to other systems, such as BI tools, plan managers or Zapier. It is a REST API documented in OpenAPI, with scoped API keys, rate limits and idempotent writes, plus signed webhooks for events like a shift being created or an invoice being paid. It is an add-on.
Document Centre
The Document Centre holds your forms, registers and policies. Autonomy Care includes a library of 71 ready-made forms you can adopt and change, template versions with approval and review dates, form records with signatures and PDF export, registers, policy acknowledgements with reminders, and a document control register that shows what needs attention.
Payroll and the SCHADS Award
Autonomy Care calculates timesheet pay under the SCHADS Award (MA000100) for the disability and home care streams. It covers weekend and public holiday rates, overtime, shift loadings, minimum engagement, broken shifts and sleepovers, flags cases for a person to decide, and exports pay runs to payroll. Have a payroll specialist check your setup.
How is access controlled?
With custom roles and fine-grained permissions grouped by module, plus single sign-on and a two-step sign-in policy you set for the organisation: off, optional, required for admins or required for everyone. When single sign-on is required, owners keep a password and two-step sign-in as a break-glass way in.
Can we prove who changed a record?
Yes. Activity logs can't be edited or deleted and are hash-chained per organisation, with a daily check that alerts if the chain is broken.
Is there a staff limit?
There's no limit on participants, and an account's licence can set a maximum number of active staff, which our team can raise. Prices aren't published yet, so contact us for a quote that fits your organisation.
Can staff work across more than one organisation?
Yes. A staff member who works for more than one organisation on Autonomy Care can switch between organisations. Each organisation's records stay separate.
Frequently asked questions
Does any feature send our information to an AI service?
Only one, and it is off. The note coach, Signals, worker matching, incident triage and claim checks are rule-based and use no AI model. An optional AI note summary add-on sends a progress note's text to OpenAI, outside Australia. It is off by default and runs only if your organisation turns it on.
Do you use AI on our participants' information?
Signals and the note coach follow fixed, written rules and don't use AI. There is one optional add-on, AI note summaries, and it is off by default: it isn't one of the standard modules, and an admin must also switch it on. When it's on, a staff member can ask for a suggested summary of a progress note. The note's text is sent to OpenAI and processed outside Australia, with participants' names replaced first, and Autonomy Care doesn't store the text it sends.
When does the app read a worker's location?
Only at set moments: once at clock-in and once at clock-out when your organisation uses geofencing, once when a worker checks in or answers "Are you OK?" (if allowed), while a help request is open (up to 30 minutes, and they can stop it), and for an expense trip if they tap "use my location". Never in the background.
Can we get our data out if we leave?
Yes. Most registers and records can be exported as CSV or PDF while you are a customer, and an admin can export everything held about one participant or staff member in a single download. Form records are kept for at least 7 years while you use Autonomy Care.
If your subscription ends, you keep read-only access for 30 days so you can export what you need, and if you ask during that time we'll send you a copy of your data in common formats, such as CSV and PDF. We then delete your organisation's data within 90 days, unless the law requires us to keep something longer. There's no fee to leave or to take your data with you.
You stay responsible for keeping your own NDIS records for as long as the rules require, such as 7 years for incident and complaint records, so export them before you go. Our terms of use summarise these terms, and your customer agreement with us governs.
Where is our data stored?
Don't publish a location until it is in place.
Is a worker's voice recorded when they dictate a note?
Autonomy Care doesn't record or keep any audio. Dictation uses the phone's own speech recognition, set to Australian English, and only the words go into the note. Depending on the phone, Apple or Google may process the audio to turn it into text. Workers who'd rather not can type instead.
Can staff sign in with Microsoft or Google?
Yes. Single sign-on works with Microsoft Entra ID and Google Workspace using OpenID Connect. Your organisation can require it for admins or for all staff. The mobile app doesn't support single sign-on; workers sign in with a password, plus two-step sign-in if your organisation requires it or the worker turns it on.
Do you support two-step sign-in?
Yes. Staff can use an authenticator app with one-time recovery codes. Your organisation can make it optional, required for admins, or required for everyone.
Can we see who accessed or changed a record?
Yes. Activity logs record who did what and when, and can be exported. Document records also log every view and export. Logs can't be edited or deleted, and are hash-chained so tampering can be detected.
What participant information can support workers see?
Workers see the care information they need on shift: support needs, goals, medicines, alerts, contacts and handovers for the participants they support. They don't see plans, funding or plan managers. The NDIS number stays hidden until they tap Show, and search previews never show note or message text.
